Understanding our roles and permissions system
You’d be surprised how often we hear things like, “Why can’t I see X if I have all the roles?” or “What am I missing?”.
In this article, we’ll walk you through the usual places to check when you can't access certain data...even though it seems like you should be able to see it.
User Management Roles
Many permission-related issues can often be resolved on the User Management page. To view the roles assigned to a specific user, simply search for their name and open the Roles column.
By default, users are assigned the Member role; however, this is just a starting point. To grant a user additional access within the platform, you will need to assign more roles by selecting them from the drop-down menu.
If you're unsure about which roles to assign, please refer to our documentation for guidance.
Keep in mind that these roles are regarding users, later on this article we will cover roles related to workspaces and other features in our platform...
Workspace Administration Roles
In order to add or remove roles regarding Workspace you need to go to the Workspace Administration tab:
Here you will be able to manage roles regarding workspace access, make sure you check out our documentation to see what specific roles do.
Always make sure that your organization is also added in the Collaborators tab. This ensures that your organization has full access to this workspace!
Request Settings
If your team is trying to access a requests data ( uploaded data, statistics or even members ) but is getting denied access to, make sure you check the Request Settings option. This option can be found right after you select a request from a specific Project.
In this page you will be able to manage which organizations should have access to this request's data.
Even if the user trying to access the data in a request has all the roles set correctly their organization must be added here.
Summary:
If you’re running into issues where certain data isn’t showing up even though it feels like you have all the right roles, you should totally take a look at the most common places to check that are error prone:
-
User Management Roles: Check what roles a user has and assign additional ones if needed.
-
Workspace Administration: Make sure the right roles and organizations have access to the workspace.
-
Request Settings: Even with the right roles, users won’t see request data unless their organization is explicitly granted access.
